People - system users

This section can be found under Features—People. Here, you can add people who will be able to log in to the system. You can also change their access control type, such as simple user or administrator.

Click new on the right-hand side to add a new user/person.

Complete all the boxes as required.

You must complete some boxes before you can save the new person.

This will be used as the portal login name and must be totally unique. Setting a simple name like John will not be allowed, as there could already be a John on the system. We recommend that you use the person's email address, as this will more likely be unique.

This must also be completed as it is used for password recovery and voicemail to email if the user/person is set as a mailbox owner.

Finally, the password must match and contain at least ten characters. This can be alphanumeric or any of the special characters.

Security

To try and eliminate fraud and people logging in when they shouldn't.

We have two security methods that can be used.

This will send the user who is logging in with their password an email with an OTP (one-time password). Once this 6-digit PIN is entered, the system and your computer will remember who you are and will not require you to log in again using the OTP authentication until you have logged out again.

This will only allow this user to log in from the listed IP addresses. This isn't so good as people may be logging in using their mobile phones, which will use multiple IP addresses from the mobile network pool of IP addresses. It is probably only useful if you know for sure that the user login will only be dedicated to a single IP address.
